Use the right sample
Decide whether the sample proves material, dimensions, function, finish, artwork, packaging, or the complete product. One sample may not prove every batch requirement.

Record functional checks
Relevant checks may include dimensions, straightness, core centering, sharpening, breakage, writing or color performance, bonding, eraser function, and count.
For writing darkness, erasability and grade selection, use the finished graphite-pencil specifications. For color laydown, assortment and set approval, use the colored-pencil specifications.

Record visual checks
Visual acceptance should define the approved color, coating, print, foil, dip end, ferrule, eraser, surface defects, and packaging appearance using references where necessary.
For campaign gifts, review the logo, barrel finish and presentation pack through the custom promotional pencil route. Use the artwork and sample approval checklist to record which file and physical sample the buyer approved.

Agree inspection timing
Confirm whether checks occur during production, before packing, after packing, or before shipment, and who provides the evidence or performs any third-party inspection.
Include the agreed inspection requirements, production cartons by style and destination in the OEM quotation checklist before requesting a production quotation.

Need a finished OEM pencil sample and inspection plan?
Samples are for evaluating a planned production order; sample availability, quantity, cost, freight, and timing are confirmed separately. State the intended production quantity by style and the destination, then match the approved sample to the written specification and inspection plan.

Does an approved sample replace a written specification?
No. A sample is strongest when paired with a written specification and measurable acceptance points.
Can inspection requirements change after production starts?
Changes should be agreed before production. Late changes can affect cost, schedule, rework, and the validity of the approved sample.
Does requesting samples change the production MOQ?
Finished pencils: 100 cartons per style, with 2,880 pencils per carton (288,000 pencils per style). Order quantities and packing for pencil slats, boards, and unfinished pencil bodies are agreed separately by specification.
