01

Lock one product and artwork brief

Record the buyer, program, destination, sales channel, product route, construction, core, finish, quantity, SKU split, packaging, required date, and responsible approvers in one controlled brief. Shanhai's standard production MOQ is 100 cartons; pieces per carton, SKU allocation, specification, print, components, and packaging are confirmed in the formal quotation, while samples are handled separately.

02

Control the final artwork file and revision

Name the exact vector source, stable file reference, revision, date, logo text, spelling, colors, dimensions, position, orientation, clearances, barcode, labels, and packaging copy. A screenshot or chat preview may support discussion, but it should not silently replace the approved production artwork.

02

Vector source and stable file ID

02

Exact wording and spelling

02

Color, dimensions, position, and orientation

02

Packaging, barcode, label, and legal-copy approval

03

Match the print method to the body and required result

Review the body shape, surface, coating, logo detail, color, coverage, quantity, handling, sharpening, packing, and appearance target before confirming a print route. Hot stamping, foil, screen, pad, transfer, or another method should be approved against the exact product and sample rather than selected from a generic label alone.

03

Body geometry and printable area

03

Finish and ink or foil compatibility

03

Legibility, registration, and tolerance

03

Rub, adhesion, handling, and packing checks

04

Approve the proof before making the physical sample

The proof should identify the product, SKU, artwork revision, scale, colors, print face, reading direction, safe area, packaging revision, and approval scope. Record who approved it and when, then link that proof to the physical sample reference so later files cannot be substituted without a visible revision change.

04

Product and SKU identity

04

Scale, colors, print face, and safe area

04

Named approver and approval date

04

Proof-to-sample revision link

05

Inspect the physical sample against written checkpoints

Check sample identity, specification revision, dimensions, construction, core, writing or coloring, sharpening, body finish, logo content, print color and position, registration, adhesion, components, set assortment, packaging, carton, photos, and retained reference. Record the actual result instead of relying on a general statement that the sample looks good.

05

Actual result for every required checkpoint

05

Pass or fail and reviewer decision

05

Photograph or stable evidence reference

05

Retained approved sample and validity

06

Close deviations and release only when READY

Give every mismatch a deviation ID, owner, written disposition, corrected evidence, and Closed status. The workbook remains BLOCK until all required brief fields, print approvals, sample checks, deviations, and release sign-offs are complete. Any later change to product, material, color, artwork, print, packaging, quantity, document, or schedule reopens the affected gate.

06

Traceable deviation and owner

Corrected evidence and closure status

06

Formula-driven READY or BLOCK gate

Written change control after approval

Print-route decision

Choose a custom pencil print method from the approved result, not the method name alone.

Compare the exact body, finish, logo geometry, colors, position, durability, sample appearance, quantity, packaging contact, timing, and cost basis before approving production artwork.

Body and finish

Confirm shape, printable face, curvature, coating, stain, lacquer, natural surface, dip end, ferrule, eraser, and other clearances.

Artwork detail

Check line weight, small text, reverse areas, color count, foil or ink coverage, scale, orientation, safe area, and contrast.

Performance

Agree the order-appropriate registration, position, color, rub, adhesion, handling, sharpening, packing, and visual acceptance basis.

Approved evidence

Link the selected method to the exact proof revision, physical sample, buyer decision, supplier confirmation, quotation scope, and change-control rule.

Production release gate

READY or BLOCK: prevent an unapproved file or sample from entering production.

Release only when the brief is complete, every required proof checkpoint is approved, every required sample check passes, every deviation is closed, and the final file, sample, buyer, supplier, release authority, and date are recorded.

READY

Use only for the exact product, SKU, artwork revision, approved sample, packaging, quantity, destination, and written commercial scope recorded in the workbook.

BLOCK for missing input

Block when product, artwork, color, print, packaging, sample, destination, quantity, schedule, or approval data is absent or unclear.

BLOCK for a deviation

Block when a mismatch has no traceable disposition, corrected evidence, buyer acceptance where required, or Closed status.

Reopen after change

Issue a new revision and repeat the affected proof, sample, packaging, commercial, and release checks whenever an approved input changes.

FAQ

Questions buyers should settle before production.

What is included in the custom pencil artwork and sample approval checklist?

The free XLSX contains Start Here, Product & Artwork Brief, Print Method Review, Sample Approval, and Release Summary worksheets with editable inputs, approval lists, deviation tracking, formulas, and a READY or BLOCK production gate.

What is the MOQ for custom logo pencil production?

Shanhai's standard production MOQ is 100 cartons. Pieces per carton, SKU split, pencil specification, imprint, components, and packaging are confirmed in the formal quotation. Sample requests are handled separately.

Which artwork file should be approved for printed pencils?

Use the exact final vector source and revision agreed for production, with fonts or outlines controlled and the approved logo text, colors, dimensions, position, orientation, clearances, packaging copy, and stable file reference recorded.

Is a digital proof enough to release custom pencil production?

Not by itself when the order requires physical sample approval. Link the proof revision to a traceable sample, record actual results for required checkpoints, close deviations, and obtain the named release sign-offs before production.

Does the workbook replace the signed purchase order and approved sample?

No. It supports communication and release control but does not replace the signed quotation, proforma invoice, specification, drawing, physical approved sample, testing plan, inspection agreement, destination-market review, or contract.
