Who this is for
Stationery brands, importers, distributors, promotional buyers, retailers, procurement teams, packaging teams, compliance reviewers, and private-label pencil program managers
Use this page to prepare one measurable specification and commercial basis before comparing suppliers.
01
Define the claim before collecting evidence
Write the exact proposed wording, product or SKU, named component, destination market, buyer channel, intended audience, and exclusions. Evidence cannot be evaluated against a vague word such as green, sustainable, natural, recyclable, biodegradable, compostable, recycled, certified, or non-toxic.
Product, SKU, and component scope
Destination market and channel
Exclusions, conditions, and intended use
02
Map every pencil and packaging component
Record wood, graphite or colored core, adhesive, coating, imprint, foil, ferrule, eraser, inserts, inner packaging, master carton, and transport materials separately. A supported statement for one component does not automatically support a whole-product claim.
Material and supplier identity
Evidence type and stable reference
Issue, expiry, and review date
Risk, owner, and next action
03
Substantiate recycled, certified, and material claims
For recycled content, record the material, percentage, calculation basis, supplier and batch scope, and whether the statement concerns the pencil or packaging. For certified sourcing, confirm the certificate holder, scope, product group, claim authorization, and exact label or sales-document route.
Material and percentage
Calculation and chain-of-custody basis
Certificate or declaration scope
Product, package, batch, and wording match
04
Separate recyclability, biodegradability, and compostability
These are different end-of-life claims. Record which component is covered, the market, collection or treatment availability, separation instructions, conditions, time frame, method, excluded parts, and evidence. Do not transfer a wood-component result to lacquer, adhesive, core, ferrule, eraser, or packaging.
Named component and conditions
Market-specific collection or treatment
Method, time frame, and limitations
Consumer instruction and excluded parts
05
Control packaging and local disposal wording
Check paper bands, boxes, films, windows, laminates, coatings, inks, adhesives, inserts, labels, tapes, cartons, pallets, and accessories. A technically recyclable material may not be accepted by every local system, so the buyer wording and marking should be reviewed for the destination market.
Every packaging layer
Recycled-content evidence
Label and marking route
Local collection and disposal limitation
06
Release, archive, and recheck the approved claim
Link exact wording to verified evidence, complete the required buyer or legal review, approve only the stated scope, publish only when the formula gate reads READY, archive the evidence version used, and set the next-review date and owner.
Verified evidence status
Named reviewer and approval
READY publication gate
Archived version and next review
Publication gate
READY or BLOCK: apply one auditable release rule.
The workbook marks a claim READY only when its evidence status is Verified and its approval status is Approved. Missing, requested, received-only, rejected, draft, pending, withdrawn, expired, unclear, or overbroad records remain blocked.
READY
Use only for the exact product, component, market, conditions, wording, evidence version, and approval scope recorded in the workbook.
BLOCK for evidence
Block when the evidence is missing, generic, expired, unverifiable, mismatched to the supplier or product, or narrower than the proposed wording.
BLOCK for approval
Block when the exact wording, destination requirement, buyer review, certification authorization, or responsible approver remains open.
Recheck after change
Reopen the record when the supplier, material, formula, finish, packaging, evidence, market, label, or wording changes.
Claim wording
Prefer precise component facts over unsupported whole-product language.
A narrower factual statement can be more useful and defensible than a broad environmental adjective. State what was verified, where it applies, and what is excluded instead of implying that the entire pencil or program has a quality that only one component demonstrates.
Name the component
Separate the wood barrel, core, coating, adhesive, ferrule, eraser, print, inner pack, carton, and transport materials.
Name the evidence
Keep a stable document reference, issuer or supplier, current date, covered scope, result, and verification owner.
Qualify conditions
State percentage, market, collection route, treatment condition, time frame, exclusions, and other limits when they change the meaning.
Remove unsupported words
If the evidence does not support the proposed claim, use verified composition or sourcing facts or do not publish the claim.

FAQ
Questions buyers should settle before production.
What is included in the pencil sustainability claim evidence checklist?
The free XLSX contains Instructions, Component Matrix, Claims Tracker, Packaging End Life, and Approval Summary worksheets with editable evidence fields, status lists, review dates, formulas, and READY or BLOCK publication gates.
Can the checklist prove that a pencil is eco-friendly?
No. It is a due-diligence and approval tool, not a certification or legal conclusion. It helps the buyer record claim-specific evidence, scope, wording, review, gaps, and next actions before deciding whether a claim can be used.
Does recycled packaging make the pencil a recycled product?
No. Packaging evidence applies only to the named packaging material and percentage unless separate evidence supports recycled content in the pencil or another component.
Can wood content alone support a biodegradable pencil claim?
Not for the whole pencil by assumption. Coatings, adhesives, graphite or colored cores, ferrules, erasers, printing materials, and packaging may have different composition and end-of-life conditions.
Is the sustainability evidence workbook free to download?
Yes. The five-sheet XLSX downloads directly without an email gate and can be edited for the buyer's exact pencil, packaging, destination market, evidence, wording, and approval route.
